The User Accounts area allows administrators to create, view and manage users within their PowerHouse environment.
User accounts can be created with different user types and levels of access, allowing organisations to control what users can see and do within the platform. Users can also be assigned to groups to support content assignment, management responsibilities, reporting and other platform activities.
Understanding User Types
PowerHouse supports different user types to reflect the roles and responsibilities of users within your organisation.
The user types available may vary depending on your organisation's configuration and licensed PowerHouse products.
Common user types include:
Administrator
Administrators have the highest level of administrative access within the platform.
Depending on their permissions, administrators can manage users, groups, content, reporting, platform settings and other administrative functions.
PowerHouse permission controls can also be used to restrict the functionality available to individual administrators or administrative roles.
Manager
Managers are generally responsible for overseeing users within the groups they have been assigned to.
Group assignments help determine the users and information available to managers and can be used to support activities such as assigning and monitoring learning, reviewing user activity and accessing relevant reporting.
A manager's actual access will depend on their assigned groups and permissions.
Worker (Learner)
Workers (Learners) are the primary end users of the platform.
Depending on the PowerHouse products and functionality being used, learners can undertake activities such as:
- Completing courses and training plans
- Registering for or attending events and webinars
- Completing surveys, forms and workflows
- Completing onboarding and compliance activities
- Uploading required information or documentation
- Building their skills, training and professional profile within the Workforce Wallet
Learners can be assigned to one or more groups to help ensure the correct content, activities and requirements are assigned to them.
Other User Types
Depending on your PowerHouse configuration, additional user types can include Business, Contractor and Visitor accounts.
These account types allow organisations to provide different experiences and levels of access for different user populations.
Note: User type names and labels can be configured to align with the terminology used by your organisation.
User Groups
Groups are an important part of user management within PowerHouse.
Users can be assigned to groups based on organisational requirements such as department, business unit, location, role, program, workforce type or other structures.
Groups can then be used throughout the platform to help:
- Assign learning and other activities
- Control access to relevant content
- Allocate managers to appropriate users
- Target communications and workflows
- Support reporting and administration
Correct group assignment helps ensure users receive the appropriate content and that managers and administrators can access the information relevant to their responsibilities.
Viewing User Accounts
The main Users table displays the user accounts available to the administrator.
For each user, the table provides key information including:
- User account – the user's name and profile image, where available.
- Login name – the username or email address associated with the account.
- Groups – the group or groups to which the user belongs.
- User type – identifies the type of user account.
- Status – indicates whether the account is Active or Disabled.
- Last login – shows when the user last logged in to the platform.
Select a user's name to open their individual user account.
Searching, Filtering and Sorting Users
Use the Search field to locate individual users.
The user list can also be filtered by User type and Status, making it easier to locate particular types of accounts.
Available status filters include:
- Active – the user account is enabled and can access the platform in accordance with their permissions.
- Disabled – the account is disabled and the user cannot log in.
Select All statuses to display both Active and Disabled users.
The Sort by option can be used to change the order in which users are displayed, while Filter provides access to additional filtering options where available.
Adding a User
Select + Add user to create an individual user account.
When creating a user, administrators can enter the user's details, select the appropriate user type and configure the information required for that account.

Managing an Existing User
Select a user's name to open and manage their user account.
The three-dot menu at the right-hand side of each user row also provides access to additional actions available for that account.
Available actions may vary depending on the user type, account status and your administrator permissions.
Bulk User Management
Where multiple users need to be created or updated, PowerHouse provides Bulk User Actions to make larger user administration tasks more efficient.
User information can be prepared using the required data fields and supported bulk processes rather than creating each account individually.

Additional User Management Options
The top menu provides access to additional user administration functionality, including:
Permission Schemes – manage permissions and levels of access within the platform.
Bulk User Actions – perform supported actions across multiple users.
Forms & Labels – configure user-related forms, fields and labels.
Buy More Users – access options for increasing user capacity where applicable.
More – access additional user management functionality available within your PowerHouse environment.
