Bulk User Actions
Bulk User Actions allow administrators to manage multiple user accounts at once rather than making changes to individual users.
From the User Accounts page, select Bulk User Actions from the top menu.
The following options are available:
- Import Users – create multiple user accounts using a CSV file.
- Export Users – export user account information to a spreadsheet.
- Update Users – update existing user accounts using a CSV file.
- Re-send Welcome Email – send the Welcome Email to multiple users based on user type and group.
Import Users
The Import Users function allows administrators to create multiple user accounts by uploading a CSV file.
This is particularly useful when initially setting up a site or when adding a large number of users.
Download the CSV Template
Navigate to:
User Accounts > Bulk User Actions > Import Users
Select Download CSV Template.
Use the provided template to enter the required user information.
Using the current template is recommended because it ensures the file contains the fields and structure required by PowerHouse.
Once completed, save the file in CSV format.
Group Assignments
Users can be assigned to one or more groups as part of the import.
To assign groups through the CSV file, you will need the relevant Group Key. Group Keys can be found in Group Management beside the corresponding group.
Enter the required Group Key in the groups column of the CSV template.
To assign a user to multiple groups, enter each Group Key separated by a comma without spaces.
For example:
group-key-1,group-key-2
Correct group assignment is important because groups can determine the content, training, events, documents and other resources available to the user.
CPD Group Settings
Where CPD Groups are being used, each user can inherit one CPD Group Setting.
Ensure the appropriate CPD Group is specified for each applicable user.
Duplicate Users
If an account already exists, the duplicate account will be ignored during the import.
PowerHouse will identify these accounts at the end of the import process.
Password Handling
A password can be specified for each user within the CSV file.
If passwords are left blank, use the Blank Password Handling option on the Import Users page to determine how passwords should be handled for those users.
Validate and Import
Once the CSV file is ready:
- Select Choose File.
- Select the completed CSV file.
- If required, select the appropriate Blank Password Handling option.
- Select Validate & Import.
- Review any validation messages or errors presented by the platform.
Validation provides an opportunity to identify problems with the import data before the user accounts are created.
Export Users
The Export Users function generates a spreadsheet containing user information.
The export can include all users or be filtered by User Type and Group.
Navigate to:
User Accounts > Bulk User Actions > Export Users
Exporting User Data
You can optionally select one or more User Types, including:
- Admin
- Worker (Learner)
- Manager
- Business
- Visitor
You can also select one or more Groups to further refine the users included in the export.
The selection criteria are optional. They are provided to give you greater control over the users included in the spreadsheet.
Once you have selected the required criteria, select Export.
A spreadsheet containing the users matching your selected criteria will be generated.
Note: Exporting users does not remove or modify any user accounts in PowerHouse.
Update Users
The Update Users function allows administrators to update existing user accounts in bulk using a CSV file.
Navigate to:
User Accounts > Bulk User Actions > Update Users
Preparing the Update File
Select Download CSV Template and prepare the user information you want to update.
Updates are matched to existing accounts using the user's User ID.
It is important that the correct User ID is provided for each account. An invalid or unavailable User ID will result in an error when the update is processed.
Updating Group Assignments
Group assignments can also be included in the update file.
Obtain the appropriate Group Key from Group Management and enter it in the groups column.
For multiple groups, separate the Group Keys with commas and do not include spaces.
For example:
group-key-1,group-key-2
Updating Passwords
A user's password can be updated by including a new password in the update file.
The new password must meet the password requirements configured for your PowerHouse environment.
Where a password is reset through the update process, the user will be prompted to change their password when they next log in.
If no password is provided in the update file, the user's existing password remains unchanged.
Validate and Update
Once the CSV file has been prepared:
- Select Choose File.
- Select the completed CSV file.
- Select Validate & Update.
- Review any validation messages or errors.
Take care when performing bulk updates and review your CSV data before completing the update.
Re-send Welcome Email
The Re-send Welcome Email function allows administrators to send the Welcome Email to multiple existing users.
This can be useful when users need to receive their welcome information again or when onboarding a particular group of users.
Navigate to:
User Accounts > Bulk User Actions > Re-send Welcome Email
Select User Type
Select one or more User Types that should receive the email.
Available options include:
- Admin
- Worker (Learner)
- Manager
- Contractor
Select Groups
You can further target the Welcome Email by selecting the relevant Group or Groups.
Use the search field to locate a group or select the required groups from the group structure.
This allows the Welcome Email to be sent to a specific population of users rather than all users.
Password Handling
Before sending the Welcome Email, select the required Password Handling option.
The available options determine how user passwords are treated when the Welcome Email is sent.
For example, the option shown by default allows users to keep their existing passwords, in which case the existing password is not revealed in the email.
Review the selected password option carefully before sending the email.
Send the Welcome Email
Once you have selected the required:
- User Type(s)
- Group(s)
- Password Handling option
select Send Email.
The Welcome Email will then be sent to users matching the selected criteria.
Important: Check the selected User Types and Groups before sending. Bulk Welcome Emails may be sent to multiple users at once.
