Managing Permission Schemes
Permission Schemes allow you to control which areas of PowerHouse are available to Admin and Manager users.
Rather than providing every Admin or Manager with the same level of access, you can create permission schemes for different roles and responsibilities and assign them to the appropriate users.
PowerHouse provides two types of Permission Schemes:
- Admin Permission Schemes – control access to administrative modules and functions.
- Manager Permission Schemes – control access to the modules and functions available to Managers.
This allows users to be provided with the access they need to perform their role while restricting access to other areas of the platform.
Accessing Permission Schemes
From User Accounts, select Permission Schemes from the top menu.
Select:
- Admin Permission to manage permission schemes for Admin users.
- Manager Permission to manage permission schemes for Manager users.
Admin Permission Schemes
Admin Permission Schemes allow you to control which administrative modules an Admin user can access.
For example, you may create different schemes for a Training Administrator, L&D Administrator, Content Administrator or another administrative role, depending on the responsibilities within your organisation.
Viewing Admin Permission Schemes
Select Permission Schemes > Admin Permission.
The page displays the Admin Permission Schemes that have already been created.
The Assigned column shows the number of Admin users currently assigned to each scheme.
From this page you can:
- Create a new permission scheme.
- Edit an existing permission scheme.
- Delete an unassigned permission scheme.
Note: A permission scheme can only be deleted if it is not currently assigned to a user.
Creating an Admin Permission Scheme
To create a new scheme:
- Select + Add admin permission.
- Enter a Permission Scheme Title.
- Review the modules listed under Allowed Modules.
- Set the required modules to Yes.
- Leave modules the Admin should not access set to No.
- Select Save.
Admin Landing Page
The Admin Dashboard is the configured landing page for Admin Permission Schemes and is automatically included.
The Admin Dashboard cannot be removed from the scheme.
Additional access is determined by the modules enabled under Allowed Modules.
Allowed Admin Modules
The Allowed Modules section controls which additional areas of PowerHouse an Admin assigned to the scheme can access.
Use the toggle beside each module to enable or disable access:
Yes – the module is included in the permission scheme.
No – the module is not included in the permission scheme.
Available Admin modules can include:
- App Store
- Assessments
- Asset Manager
- Banner Manager
- Certificate Manager
- Course Catalogue
- Course Editor
- Dashboard Banner
- Dashboard Surveys
- Document Library
- Edit Profile
- Email Templates
- Events
- Framework Manager
- Group Management
- Links Editor
- Menu Shortcuts
- News Editor
- Premium Surveys
- Profile
- Reports
- Scheduled Tasks
- Settings
- Support
- Training Plan Manager
- Training Records
- User Accounts
- User Uploads
- Visitor Manager
- Web Content Editor

The modules available may vary depending on the PowerHouse products and functionality enabled for your organisation.
Editing an Admin Permission Scheme
To change an existing scheme, select the Edit icon beside the required Permission Scheme.
Review the allowed modules, make the required changes and save the scheme.
Important: Changes to an existing Permission Scheme may affect all Admin users currently assigned to that scheme.
Manager Permission Schemes
Manager Permission Schemes operate in a similar way to Admin Permission Schemes but control the functionality available to Manager users.
Manager schemes have a separate set of available modules appropriate to the Manager role.
Viewing Manager Permission Schemes
Navigate to:
User Accounts > Permission Schemes > Manager Permission
From here you can view existing Manager Permission Schemes or select + Add manager permission to create a new scheme.
Creating a Manager Permission Scheme
To create a new Manager Permission Scheme:
- Select + Add manager permission.
- Enter a Permission Scheme Title.
- Review the available Manager modules.
- Set the modules the Manager should be able to access to Yes.
- Leave modules that should not be available set to No.
- Select Save.
Manager Landing Page
The Framework Manager is the configured landing page for Manager Permission Schemes and is automatically included.
The Framework Manager cannot be removed from the scheme.
Additional Manager functionality is then controlled using the modules listed under Allowed Modules.

Manager Permission Schemes can provide access to:
- Alerts
- Calendar
- Edit Profile
- Manage Users
- Menu Shortcuts
- Messenger
- News
- Reports
- Surveys
- Workflow Manager
Use the toggle beside each module to determine whether Managers assigned to the scheme can access that functionality.
The modules available may vary depending on the PowerHouse products and functionality enabled for your organisation.
Assigning Permission Schemes to Users
Once a Permission Scheme has been created, it can be assigned to the appropriate Admin or Manager user account.
Multiple users can use the same Permission Scheme. This makes it easier to provide consistent access to people performing the same or similar roles.
For example, all Training Administrators could be assigned the same Admin Permission Scheme rather than configuring access separately for each administrator.
Admin Permission Schemes can only be used with Admin accounts, while Manager Permission Schemes are used with Manager accounts.
Recommended Approach
Create Permission Schemes around roles and responsibilities rather than individual users.
For example, your organisation might create Admin Permission Schemes such as:
- Training Administrator
- L&D Administrator
- Content Administrator
- Reporting Administrator
Each scheme can then contain only the modules required to perform that role.
Before changing an existing Permission Scheme, check whether it is already assigned to other users. Changes to a shared scheme may change the access available to everyone using that scheme.
As a general rule, Admin and Manager users should only be provided with access to the modules and functionality required to perform their responsibilities.
