Manage User Fields
User Fields allow Administrators to control the information collected and stored against user accounts.
PowerHouse includes a range of Standard Fields and also allows you to create Custom Fields to capture information specific to your organisation.
Custom Fields can be used across areas of the platform including registration forms, user profiles and reporting. They can also be used with supported Single Sign-On (SSO) integrations to populate user information.
Access User Fields
To manage User Fields:
- Go to User Accounts.
- Select Forms & Labels from the top navigation.
- Select Manage Fields.
The User Fields page displays the fields currently configured on your platform.
Use Custom Fields and Standard Fields at the top of the page to switch between the two field types.
For Custom Fields, the page displays the Field ID, Field Title, Type and a preview of how the field will appear.
Use the options menu beside an existing Custom Field to manage that field.
User Fields: View and manage the Custom Fields configured for your users.
Create a Custom Field
To create a new field:
- Select Add Custom Field.
- Select the required Type of field.
- Enter a Title for the field.
- If required, enter a Description.
The description can provide additional information or instructions to users when the field is displayed.
If you are not ready to make the field available immediately, use the available field configuration options to control when and where it is displayed.
Configure Display & Permission Settings
The Display & Permission Settings determine where the Custom Field can be displayed or made available.
Depending on how the field will be used, you can enable:
- Show in the secondary section – displays the field in the secondary information section where applicable.
- Show in reports – allows the field to be included in reporting.
- Show in user profiles – displays the field within user profiles.
- Show in Profile Widget – makes the field available within the Profile Widget.
Only enable the options that are relevant to the information you are collecting.
Create a Custom Field: Select the field type, enter the field information and choose where the field can be displayed.
Create the Field
Once the field has been configured:
- Review the Type, Title and Description.
- Confirm the required Display & Permission Settings.
- Select Create.
The Custom Field will then be available for use within the areas of the platform you have configured.
Using Custom Fields in User Forms
Creating a Custom Field does not automatically add it to a registration or user form.
If you want users to complete the field as part of a form, add it to the appropriate form through the Form Builder.
Go to:
User Accounts → Forms & Labels → Manage Forms
Open or create the appropriate form and select Add Custom Field within the Form Builder.
See Manage User Forms for further instructions.
Custom Fields and Single Sign-On
Custom Fields can also be used with supported SAML Single Sign-On (SSO) integrations.
Where configured as part of the SSO integration, Custom Fields can be mapped so that information is automatically populated when a user signs in through SSO.
The required mapping will depend on your organisation's SSO configuration.
